DOS Move Coordinator Job in Washington D.C. Metro Area United States

You will provide coordination of Domestic and International import/export household good shipments for government clients. Perform all functions including, but not limited to counseling clients on current procedures, import/export documentation, agency policies and acting as the main point of contact for the client and the account.
  • Coordinate DOS1 moving services (origin or destination) per quoted rates on file
  • Conduct introductory calls to clarify the move process
  • Monitor/track all steps during life of shipments
  • Research verified agents with SCAC codes that handle origin and destination moving services in the United States. Refer SCAC and agent information back to the relevant account once booking received.
  • Apply agency rules applicable to each individual agency booking
  • Look over home surveys prior to the move to ascertain if any of the shipment is overweight or additional services are required to be approved
  • Review inventory documents to ensure there are no PBO’s listed, and that all items have a complete description
  • Ensure that correct containers used to pack and ship HHG by reviewing weight tickets
  • Request authorizations for THC, Storage, accessorials from government agency or relocation account
  • Run estimate and actual cost comparison projection upon receipt of actual weight/cube
  • Finalize revenue and expense on all shipments to allow billings to be generates within 30 days of delivery
  • Update system with final billing information for generation of invoice
  • Review and analyze vendor invoices that exceed 10% variation from the accruals to determine if payment outside of accrual is warranted.
  • Generate and send all documents to customer, US and Overseas agents and vendors in a timely manner.
  • Ensure internal database is updated and generate agency updates with provided forms within prescribed timeframes

Required Skills:
  • Experience coordinating Department of State moves - DOS1 experience is required
  • Quality customer service skills
  • High level Microsoft Office skills are required (particularly Excel and Outlook)
  • Ability to manage high volume workload
