Receptionist Job in Construction Company Sydney Australia

jobs-n-jobs.com is looking to recruit a fulltime receptionist to work in our head office in Artarmon. The Hours are 8am – 5:30pm with and hour lunch and 10 minute morning and afternoon break.
To be considered for this role you will have:
  • Minimum 3 years' experience in a similar role involving administrative support functions.
  • Must have average typing skills and working knowledge of the internet, MS Word, Excel with the ability to learn additional software programs.
  • Must be energetic, self-starter, with excellent work ethic and ability to work independently, to support business objectives.
  • Aware of general WHS requirements
You will:

  • Manage a busy switchboard (up to 200 calls per day), greet clients, arrange meeting rooms and provide refreshments when required.
  • Manage all deliveries for office and site staff, and maintain staff phone lists and current project lists.
  • Ensure outgoing correspondence is sent in a timely manner making sure that the relevant jobs are correctly charged for incurred expenses.
  • Match incoming invoices with receipts and code appropriately for processing by accounts
  • Distribute Purchase Order books and maintain register
  • Distribute Cab Charge vouchers and ensure all details are kept up to date in a spread sheet.
  • Keep accurate details of outgoing mail and couriers so that invoices can be easily reconciled with correct jobs being charged.
  • Assisting Project Teams as needed with filing, Site Folders and other general administrative tasks.
  • Review internal administrative procedures with goals of improving quality and efficiency and keep the company manuals are kept up-to-date
  • Develop and implement new systems that improve efficiency.
  • Ensure all work is carried out in accordance with the RCC Management System and other relevant specifications and procedures as found on Crookes Net.
  • Book travel arrangements for all staff
